Terms & Conditions

The official terms for using Tribe of Travelers services

attending events, booking trips, and joining the Tribe.

1.  Definitions

Clear definitions of key terms used throughout this document, including “Member,” “Event,” “Trip,” “Booking,” and “Tribe Leaders.”​

2.  Membership Terms

​This section outlines how membership works - including duration, renewals, payments, and what members are responsible for. It ensures everyone understands what they receive and what is expected.

2.1 Membership durations

Memberships are offered for fixed periods (for example, seasonal or annual). The start and end dates of your membership will be clearly shown at the time of purchase. Your access to member benefits begins once payment is confirmed and ends automatically when your membership period expires.

2.2 Payment structure

Membership fees must be paid in full at checkout. All prices will be displayed before you complete your purchase. By joining, you agree to pay the membership fee for the full duration of your chosen membership.

2.3 Renewal terms

Local Tribe Memberships are one‑time payments and do not renew automatically. Each Local membership applies only to the specific season it was purchased for, and access ends automatically at the end of that season.

Global Tribe Memberships and Legacy Tribe Memberships are recurring annual memberships. These plans renew automatically every 12 months unless you cancel before the renewal date. Renewal reminders may be sent prior to renewal, and members can cancel future renewals at any time through their account settings.

2.4 Member responsibilities

Members agree to:

  • Follow Tribe Rules and community guidelines at events and online

  • Treat other members, guests, and Tribe Leaders with respect

  • Take responsibility for their own behaviour and decisions at events and on trips

​

We reserve the right to suspend or cancel membership if behaviour seriously breaches our standards or puts others at risk.

2.5 Access to private areas

Active members may receive access to member‑only spaces such as private events, online areas, or exclusive offers. Access to these areas is a benefit of membership and may change over time. When your membership ends, your access to member‑only areas and benefits will also end.

3.  Payments

​This section explains how payments are processed, what systems we use (Stripe), how installment plans work, and what happens if a payment fails. It keeps everything transparent and secure.

3.1 Stripe payment processing

All payments made to Tribe of Travelers are processed securely through Stripe, a trusted global payment provider. Stripe encrypts all card information, and we do not store or have access to your full card details. Once a payment is completed, you will receive an automatic confirmation email.

3.2 Installment options

Some excursions may offer a deposit option or a member‑only installment plan. When you book using a deposit or installment option, the initial payment is collected at checkout through Stripe. You will receive a payment schedule and balance instructions directly from Tribe of Travelers.

You are responsible for paying each installment or remaining balance by the dates provided. Failure to pay the balance on time may result in loss of your booking, removal from the trip, or cancellation of your place without refund of the deposit.

3.3 Failed payments

If a payment fails (for example, due to insufficient funds or an expired card), Stripe will attempt to process the payment again. You will be notified if a payment cannot be completed. For recurring memberships (Global and Legacy), you must keep your payment method up to date. Repeated failed payments may result in suspension or cancellation of your membership or booking.

3.4 Refund eligibility

Refunds are only available in accordance with our cancellation policy. Some payments may be non‑refundable, including deposits, late cancellations, or specific trip components. Refund timelines may vary depending on your bank. All refund decisions will follow the cancellation rules shown at the time of booking.

4.  Cancellations & Refunds

​This section covers how cancellations work for events, trips, and memberships. It explains refund timelines, non‑refundable items, and what happens if Tribe of Travelers cancels an event or trip.

4.1 Tour and Event Cancellations (by Members or Non‑Members)

If you choose to cancel your place on a trip or event, you must notify Tribe of Travelers in writing. Cancellation terms apply to both Members and Non‑Members. Refund amounts depend on how close the cancellation is to the event or trip date. Deposits are generally non‑refundable unless stated otherwise. Any refund will follow the cancellation policy shown at the time of booking.

4.2 Trip cancellations (by Tribe of Travelers)

In the unlikely event that Tribe of Travelers must cancel a trip, you will be offered one of the following options:

​

  • A free transfer to the same trip on a future date

  • A free transfer to a different trip of the same value

  • A transfer to a higher‑value trip, with you paying only the difference

​

These options will be provided at no additional cost. Tribe of Travelers is not responsible for any personal expenses you may have already incurred (such as flights, visas, or accommodation booked independently).

​

4.3 Event cancellations (Friendly Fridays or other events)

If an event is cancelled by Tribe of Travelers, you will receive either a refund or a transfer to a future event, depending on the type of ticket purchased. Members who receive free entry as part of their membership will not receive monetary compensation but may receive an alternative benefit at our discretion.

4.4 Refund timelines

If you are eligible for a refund, it will be processed through Stripe. Refunds typically take 5–10 working days, depending on your bank. Refunds can only be issued to the original payment method used at checkout.

4.5 Non‑refundable items

Some payments are non‑refundable, including but not limited to:

​

  • Deposits for trips or excursions

  • Late cancellations

  • No‑shows

  • Add‑ons or upgrades that have already been confirmed

  • Any third‑party costs already paid on your behalf

​

Non‑refundable items will always be clearly stated at the time of booking.

5.  Liability & Conduct

This section explains behaviour expectations, safety requirements, and what happens if someone violates the rules. It also outlines the limits of our liability during events and trips.

5.1 Behaviour expectations

All attendees - Members and Non‑Members - are expected to behave respectfully towards Tribe Leaders, other participants, venue staff, and the general public. Discrimination, harassment, aggression, or behaviour that disrupts the experience for others will not be tolerated. You are responsible for your own actions at all times during events and trips.

5.2 Safety requirements

For certain activities or excursions, safety instructions or equipment may be required. You agree to follow all safety guidance provided by Tribe Leaders, guides, or third‑party suppliers. Failure to follow safety instructions may result in removal from the activity without refund.

​

5.3 Liability limitations

Tribe of Travelers is not responsible for any personal injury, loss, damage, or expenses arising from your participation in events or trips, except where required by law. You participate in all activities at your own risk and are responsible for ensuring you are fit and able to take part. We are not liable for third‑party services, transportation delays, weather conditions, or personal decisions made during free time.

5.4 Removal from events or trips

We reserve the right to remove any attendee from an event or trip if their behaviour:

​

  • Puts themselves or others at risk

  • Violates Tribe Rules

  • Causes disruption

  • Damages property

  • Creates an unsafe or uncomfortable environment

​

Removal may occur without refund, and future access to Tribe events or membership may be restricted.

​

5.5 Damage responsibility

You are responsible for any damage you cause to venues, accommodation, equipment, or property during an event or trip. If damage fees are charged to Tribe of Travelers by a supplier or venue, you agree to reimburse those costs.
